Sending SMS through ClientManager

ClientManager offers an integrated SMS feature that enables advisers to communicate with their clients seamlessly. This article provides a step-by-step guide on how to send SMS messages through ClientManager and outlines some important aspects of this functionality.

Accessing the SMS Feature

To send SMS messages through ClientManager, follow these steps:

  1. Navigate to the Client's Profile: Start by locating the client whose profile you want to send an SMS to. You can do this by searching for the client in the CRM.
  2. Click 'Send SMS': Once you are on the client's profile page, you will find the 'Send SMS' option in the top toolbar. Click on this button to initiate the SMS composition process.
  3. Compose the Message: A new window will appear, allowing you to compose the SMS message. You can type the message in the provided text box.
  4. Credit Consumption: At the bottom of the new SMS window, you will see information about how many credits the message will consume. SMS messages in ClientManager cost 10 credits per 160 characters. Make sure to keep an eye on your credit balance.
  5. Send: Just click 'Send' to send your message. Messages are automatically logged in the client's interaction log.

Using Message Templates

ClientManager also offers the option to use message templates for convenience. Here's how you can do it:

  1. Select a Template: In the new SMS modal window, you can choose a template from the dropdown list. These templates can be pre-defined messages that you've created for common situations.
  2. Edit Templates: After selecting a template, you can further customize it as needed to tailor it to the specific client or situation.

Logging SMS Interactions

All SMS messages sent through ClientManager are automatically logged in the client's interaction log. This feature ensures that you have a complete record of your communication history with each client.

Handling Client Replies

When clients respond to your SMS messages, ClientManager provides a convenient alert system:

  • Practice Alerts Notification: An alert will appear in the Practice Alerts notification area, containing the message and the number it's from.
  • Direct Access to Client's Profile: By clicking on the message alert, you can immediately access the client's profile, making it easy to respond and continue the conversation.

Managing Messaging Credits

To ensure uninterrupted SMS communication, keep an eye on your messaging credits:

  • Purchasing More Credits: If you need additional messaging credits, go to the 'Billing' section in ClientManager and select 'Buy More Credits.' Enter the desired amount to purchase. Ad-hoc purchased credits do not expire.
  • Monthly Free Credits: Be aware that monthly free credits expire at the end of each month.
  • Credit Costs: SMS messages in ClientManager consume 10 credits per 160 characters. WhatsApp messages cost 1 credit per message and 2 credits per conversation started. It's important to note that messaging credits are shared between WhatsApp and SMS.

Unique Practice Phone Number

Each practice in ClientManager has a unique phone number that clients can send SMS messages to. To locate this number:

  1. Go to Settings: Navigate to the 'Settings' section in ClientManager.
  2. Messaging: Look for the 'Messaging' subsection, where you will find the unique phone number for your practice. (Please exercise caution when dealing with SMS sender ID and sender key settings, as these parameters should not be edited without a full understanding of their purpose.)
