General Notes
The notes section can be used for general client notes. This section is not meant to capture interaction notes, advice notes, or be used as a note-log. The notes section is meant for general notes about the client profile, to provide guidance to someone seeing the profile about the information provided. It can also be used to record static information about the client. The notes are limited to 250 characters and information such as when the note was made is not stored. If you need to store detailed notes, or need a record of when the note was made, see logging notes.
Here is an example of the suggested usage of the notes section:
Referral from John Bishop. Other telephone is wife's number. Previously 'Stevenson'. Do not call during work hours, only between 5pm and 8pm.
Beneath the notes section is a checkbox titled 'Marketing consent given for email campaigns':
This checkbox is marked by default when adding a new client and implies that the client has consented to being included in bulk emails from your practice. Unticking this box will exclude the client from bulk-emails you send. If the client uses the unsubscribe link at the bottom of emails sent through ClientManager, this box will become un-ticked. The Electronic Communications Act, and Protection of Personal Information Act differentiate between transactional emails and marketing emails. All emails sent through ClientManager should be transactional, and not marketing emails (as defined in the acts).
When we refer to bulk emails, email campaigns, or marketing emails we mean transactional mass-emails to clients who have appropriately consented to receiving such emails.
Tags
Tags allow you to segment your clients according to various lists. You can setup tags in the settings menu and use them on any client's profile. To add a tag to the client, you can click 'Add tag +'. You will be presented with a list of tags you set up in the settings menu. You can choose a tag and click 'Link Tag' to add the tag to the client's profile. When sending bulk emails, for example, you can choose to include or exclude certain tags when choosing your recipients.
To remove a tag, click on the tag (your cursor should change to a delete-icon when hovering over the tag). You can add and remove tags as is necessary.
